E-signature for HR documents: offers and contracts signed online

Getting an employment contract signed should not require printing, scanning, or buying a separate signing product before your first hire. BeeXpro HR includes built-in e-signature that works with zero setup — and if your company already standardized on a provider, you connect your own account instead.

Built-in signing: nothing to configure

From day one, any offer or contract can be sent for signature. The candidate receives a secure, tokenized signing link, opens the document, and draws their signature. That signature is then sealed into the PDF together with a full audit trail — name, email, IP address and timestamp — so the finished document carries its own evidence of who signed, from where, and when.

There are no accounts to create for candidates, no per-envelope contracts to negotiate, and no provider to set up before you can extend your first offer.

Watch every offer move: sent, viewed, signed

Each document's status is tracked through sent → viewed → signed, visible right where you work. You know the moment a candidate has opened the contract — and the moment they have not, which is often the more useful signal during a competitive hire.

Prefer your own provider? Connect it

Companies with an existing signing standard can keep it. BeeXpro HR supports per-company connections to DocuSign and Adobe Acrobat Sign (each via a sign-in with your company's own account) and to Dropbox Sign (via API key). Documents then go out from your provider account and branding, with signed copies and status updates flowing back into the platform automatically.

The built-in option remains the default; external providers are a choice, never a prerequisite.

The signed contract does not stop at "signed"

Because signing lives inside the ATS, the sealed document stays attached to the offer — and when you hire, it travels with the person: the candidate becomes an employee in one step and the contract, together with all other documents and the interview history, becomes part of the employee record. It is stored in the document vault (platform storage or your company's own Dropbox), encrypted in transit and at rest on EU-hosted infrastructure.

Frequently asked questions

Do we need DocuSign or another provider to send offers?

No. Built-in e-signature works immediately with no setup — external providers are optional, for companies that already have one and want documents sent from their own account.

What proof of signing does the built-in option produce?

The drawn signature is sealed into the PDF along with an audit trail recording the signer’s name, email, IP address and timestamp, so the document and its evidence stay together.

How do we know whether a candidate has looked at the contract?

Every document is tracked through sent, viewed and signed states, so you can see at a glance who has opened their offer and who has completed it.

Where does the contract live once the person is hired?

It stays attached through the one-step conversion from candidate to employee, ending up in the employee record’s documents — stored on the platform or in your company’s own connected Dropbox.
